3. How and why we use it

  • To respond to enquiries and send quotes, because you asked us to (taking steps towards a contract).
  • To process and deliver orders, including registering SonicWall and other licenses with the vendor, to perform our contract with you.
  • To deliver, manage and support IT services under our service agreement with you.

We'll only send you electronic marketing, such as newsletters or offers, if you're an existing customer and the marketing is about similar products or services, or if you've given us your consent. This is in line with section 69 of POPIA.

Every marketing message includes a way to unsubscribe, and you can opt out at any time by emailing us.

5. Who we share it with

We don't sell or rent your personal information. We share it only where needed, with:

  • Service providers (operators) who help us run our business, such as website hosting, email and Microsoft 365, backup, accounting, payment processing and courier services. They may only use your information on our instructions and must keep it secure.
  • Vendors and distributors, such as SonicWall, Microsoft, ESET and Zoom, when we register a license, renewal or warranty on your behalf.
  • Authorities or professional advisers, where the law requires it or to protect our legal rights.

6. Transfers outside South Africa

Some of our service providers, such as cloud and analytics platforms, may store or process information outside South Africa. When this happens, we only use providers that are bound by laws, binding corporate rules or agreements that give a level of protection similar to POPIA, as required by section 72.

Backups we manage through our BackIT service are stored in South Africa.

7. Client data we manage

When we manage IT systems for a client, we may have access to personal information that belongs to that client, their staff or their customers. In that role, we act as an operator on the client's behalf. We process that information only as set out in our service agreement and keep it confidential and secure. We'll notify the client if we become aware of a security compromise.

If your information is held by one of our clients, please contact that organisation directly about your rights.

8. How we protect it

As an IT and cybersecurity provider, we use appropriate technical and organisational measures to protect personal information against loss, damage and unauthorised access. These include firewalls, encryption, multi-factor authentication, access controls, monitoring and secure backups.

If we have reasonable grounds to believe your personal information has been accessed or acquired by an unauthorised person, we'll notify you and the Information Regulator as soon as reasonably possible, as section 22 of POPIA requires.

9. How long we keep it

  • Enquiries and quotes that don't lead to business: kept for as long as needed to follow up, then deleted.
  • Orders, invoices and financial records: kept for as long as tax and company law requires, usually at least five years.
  • Client service records: kept for the duration of our service agreement, and afterwards for as long as needed to resolve queries or meet legal obligations.

When information is no longer needed, we securely delete, destroy or de-identify it.
